PTSA MEETING MINUTES June 21, 2016

Attendees – The meeting was called to order at 7:12 PM by PTSA President Luisa Martin-Price. Nine people were present: Luisa Price, Maryann Hiscock, Shanna Ratashak, Darlann Romney, Sherry Skinner, Karen Warr, Richard Warr, Lori Ladner, Susan Harrell.

Agenda

Review today’s agenda (attached)

Review and Approval of the May 18, 2016 Meeting Minutes

Motion to approve: Shanna Ratashak

2nd to approve: Richard Warr

All in favor.

Treasurer’s Report – Karen Warr

As of end of May 2016, the balance is 7,786.31. From the available balance funds yet to be dispersed include: $400 for the Baccalaureate, $400 for Pelicans, $3,000 for scholarships, building and grounds expenses, etc.

Several checks were written this past month and after all checks clear, we should have over $3,000 as a starting balance for next year.

Administrative Report – Dr. James Hedrick – Principal

Graduation went well!

Everything from the organization by Mr. Remaley and Ms. Coticchio and the high degree of excellence of our chorus and band to the well thought out remarks of our student speakers is to be complimented. Well done, all!

The baccalaureate was well attended and well structured. Thanks to all who organized and participated.

Teachers return on August 19th. We are looking forward to a great start of the year with our Magnet theme.

WCPSS has been in a hiring freeze for the last two weeks. We have 4 positions to fill when they release us. We do, however, have commitments for our chorus position and one Business position. Unless we get an unexpected resignation, all of our positions will be filled by July 4 holiday. We feel that we have attracted some great candidates to ADHS who will help carry us forward in the Magnet program.

We had a good year, but not great. We have some more work to do to get to great and to become the consistent “tag changers” we need to be.

Membership Update – Lori Ladner

We had more than 25% (84) increase from last year.

Donations were also up $694.52 over 2014-2015.

Senior Scholarship – Mary Martin

This year we are pleased to be able to offer THREE 500 dollar scholarships to high achieving students at Athens: Aidan Berry, Jena Keesee, Sarah Chiavacci

We had 22 applicants (up from 11 from last year), and their applications were evaluated by three NC State University professors. They ranked according to 3 categories: GPA, extracurricular, personal statement. The application process is the same as last school year except we have eliminated the personal reference requirement.

The scholarship committee became aware of three students who not only put in the effort to pursue academic excellence but did so while overcoming extra challenges in their life.

We pursued extra funding in order to create another scholarship program this year to recognize these students’ perseverance in less than ideal circumstances. Te’Asia Royster, Drake Dais, Xavier Milton have continued to work hard and make the most of their high school experience. We called this the EXTRA Effort Scholarship program. Ekklesia funded one of this $500 scholarship.

The six awards were presented at the Seniors Award Assembly on May 26th.

In attendance: Kim Davis, Jennifer Despair, Lisa Murphy, Sabrina Finkbeiner, John Sykes, Jeremy Parrish, Mary Ann Wilson, Renee Brown, Maryann Hiscock, Paulette Carrieri, and Dr. Hedrick

Called to order at 7:05 pm by Paulette Carrieri.
Minutes for the February PTSA meeting were reviewed and approved by John Sykes and seconded by Lisa Murphy.
Treasurer: Maryann Hiscock
Ground Beautification’s grant check made payable to Athens Drive High School, but deposited into the PTSA account.
Teacher Grants:One teacher returned the grant money due to the school being able to cover the funds for their requests.
We have received a check for overpayment related to Membership dues. The NCPTA has reimbursed us the corrected amount, but not the National PTA.
Framing for Mr. Crockett’s portrait: The cost will be split between Kim Davis and Maryann Hiscock.
Senior Line Items: Money has not been spent as of yet, but will be spent by June 2014.
Academic Boosters: Michelle Young is still waiting for the list of students who qualify from Student Services.

PRINCIPAL:
Power School: There will not be an issue with students registering for the 2014-2015 school year. The state does realize there are a few issues which will need to be dealt with and are working on the solutions. Mr. Parrish noted upcoming 9th Graders should be able to register through Athens Drive. Registration deadline is March 27th for Athens.
Make up days: June 12-school day; Senior exams will be given the week of June 2nd; final exams for other students will be June 6-11, 2014.
ACT will be held on March 18th; make up day for the ACT will be April 1st.
The 2014-2015 Teacher Breakfast will be held by a vendor. Dr. Hedrick will take the responsibility in the details.

Sabrina Finkbeiner: The portrait of Mr. Crockett will be held at the May PTSA meeting; pending Mr. Crockett’s schedule. Paulette Carrieri will contact Mr. Crockett.

John Sykes: Grounds Beautification
A day in April will be promoted as the second clean up day for Athens Drive. Sabrina Finkbeiner asked John Sykes about an exact date due to the NHS students needing time to schedule their participation in the clean up. Mr. Hunning’s and Mr. Morey’s classes are busy helping keep the campus clean on various days. Before John Sykes is able to set a date, he needs to check with the vendors outside of school to check on their availability.
All volunteers would need to be registered as a Wake County volunteer.

PTSA Website: Who is managing the website? Paulette will send pictures to John and Lucy from the first Beautification Day.

Position Profiles: All committee chairs and members of the Executive Board need to send their job descriptions to Luisa, chairperson of the Nominating Committee. Paulette has received several profiles and will send to Mary Ann Wilson. Nominations for the upcoming opening will be voted on at the May meeting.

Academic Integrity: Jennifer Despain, Academic Integrity Chairperson, attended the PTSA meeting to discuss if the Academic Integrity committee could fall under one of the PTSA committees. Renee Brown suggested allowing the Academic Integrity committee to become part of the Academic Boosters committee. Any donations to the Academic Integrity committee will only be available to the Academic Integrity committee.

Senior Scholarships: Senior Scholarship applications are now being accepted at Student Services. The deadline for the applications will be April 15, 2014.

Study Skills: Eleven students attended two sessions of the Study Skills program being offered through the PTSA. With this program being a fundraiser, we raised $550.00. No new dates have been set, but students are able to go online and complete the course.

Teacher Appreciation: Laura Erdman and Dr. Hedrick agreed on a date for the Teacher Appreciation May 16th.

PTA verus PTO: Paulette Carrieri stated there was a starter kit available about creating a PTO. Paulette did comment about the PTO not having formal training as the PTA does, but the PTO does offer leadership information. The PTA versus PTO will be tabled until the new Executive board is in place for the 2014-2015 school year.

Instruction Junction: The WELL has hired a part time tutor/coordinator for Athens Drive. This new person will be available on Mondays and Wednesdays 2:30 pm-7:00 pm.

Grant Writer for 2014-2015: Renee Brown has found someone to take over the responsibilities for writing grants for the PTSA. However, most grants require a minimum number of volunteer hours. Further details are tabled until the new Executive Board is in place.

The clothes for the Clothing Closet will need to find a new home. At this time, the clothes are in the tutorial center. Paulette Carrieri asked Dr. Hedrick for a location. Dr. Hedrick has a possible location.

The future of the PTSA and any transitions will need to be discussed at the April PTSA meeting.

Meeting was adjourned at 8:10 pm by Paulette Carrieri.

Meeting was called to order by Paulette Carrieri at 7:02pm. People in attendance were as follows:

Paulette Carrieri

Maryann Hiscock

Susie Childers

Lucy Shockley

Sabrina Finkbeiner

Dr Hedrick

Mary Martin

Lisa Foster

Renee Brown

January minutes were not available for review.

Paulette will contact Mr Crockett to return to the school for the presentation of his retirement photo. Donations will be accepted at our next meeting to help offset the cost to frame his photo. Cost is roughly $115.

Maryann Hiscock presented January financials. We have an ending balance of $4,172.10.

Paulette has inquired about changing the format of the financial month end reporting. Maryann confirmed that the current format is what is identified on the state PTA website. The NC Beautiful grant of $1000 had just been received the week prior and will show up in the February activity.

Mary Martin reported on the teacher grants that were awarded. The total amount spent will be $642.91. This is less than the budget amount of $1000 due one grant that was under spent and a second grant that had been awarded is now going to be funded from the school budget. The excess of $357.09 will be a favorable hit to our bottom line.

The discussion of PTSA vs PTO has been tabled until March.

Lucy Shockley reported on programs in Mary Ann Wilson’s absence.

We currently have 6 people signed up for the Study Right program.

Hospitality handed out goodie bags to the teachers for Valentine’s Day. The treats were a big hit with the teachers and were appreciated.

PTSA position profiles were sent out to all board members via email.

The NC Beautiful grant will be used to plant a native NC garden. Mr Hunning will supervise the project. Home Depot on Walnut St (Crossroads) has donated bulbs & seeds that will be planted on Mar 1st. In addition, Teen Corp will be out mulching near the admin entrance.

Michelle Young has run across an issue with Student Services in getting information on the senior honor scholars. Historically we have published the list of those seniors with a GPA of 4.0 after the 1st semester of their senior year in the yearbook and posted on the bulletin board.

Dr Hedrick had commented that the administration had noticed problems with the information from NC Wise not rolling into PowerSchool. Currently there in no accurate class ranking and that the state is aware of the problem and it will be resolved soon. This information is needed quickly since the year book will go to press soon. It was determined that Paulette would follow up with Dr Baber to possibly widening the criteria.

Dr Hedrick updated us on the following school news:

We have 1 National Merit Scholar& 1 Park Scholar

3 or 4 wrestlers have qualified for the state wrestling tournament.

Girls varsity basketball team was playing this evening for a possible conference title.

Spring break will not be taken away for the additional snow make up days. The school board

has determined that we will be able to complete the allotted number of instructional hours as required by the state. Make up days are- Mar 7th is now a full day and Jun 11th has been added to the school year. Graduation slated for Jun 7th will go on as scheduled. The school will work with seniors to have finals exams before graduation. All other exams will go until Jun 10th with Jun 11th for make up exams.

Dr Hedrick also addressed the group and updated us on the sexting scandal that has affected 6 Wake County high schools, including Athens Drive. Once these Athens students had been identified, all parents were notified immediately. At this time, the secretary has choose to summarize Dr Hedrick’s comments and to not misstate this sensitive subject, by noting that school administrators and the Wake County school system have been cooperating with police.

Mrs Finkbeiner next spoke as the teacher liason. She expressed her sincere thanks for the Valentine Day goodies to all teachers. She also was looking for timing of the next grounds beautification day and the presentation of Mr Crockett’s portrait.

A guest speaker Lisa foster (an Athens Drive parent) presented information to the group about the newly created Academic Integrity committee. This group was created by Mr Parrish along with select parents, students & faculty to help raise awareness to academic achievement at the school. The group has worked together to craft a policy of honor and integrity. A local bank has agreed to provide the funding for this committee to reward students. It has been determined that this committee would be a perfect fit with the PTSA and would fall under Academic Boosters. This would give better control and distribution of all monies. In order to formally get this committee approved, a vote will be needed by both the executive and general board. Timing has not been determined.

Paulette had addressed the group on her conversation with Dr Hedrick and the ongoing interaction between the PTSA and school administration. Below are some of the proposed changes he is recommending:

School administration will take over the back to school breakfast for teachers that had historically been organized by the PTSA. Everyone in attendance at the meeting agreed. This is turn will save the PTSA roughly $600.

Dr Hedrick also suggested that we source out the collection of Senior monies that have normally been used to support the Senior breakfast and picnic with the help of the Senior Events committee. This outside sourcing will be done by the same group that collects monies for cap & gowns. Currently all monies collected and reimbursed to the committee ran through the PTSA budget. The group was split as to where this should reside. Maryann Hiscock will contact past Senior Events chairperson for their input.

Lucy brought to our attention a request from the Lufkin Road MS about promoting their upcoming auction on our website. Historically we have agreed not to promote any other school’s activities or events. After hearing the LRMS request, the group was split and arguments went both ways. Further discussion is needed.

At the spring Open House a parent had approached the PTSA about grant writing. John Anderson volunteered to assist in the writing process. A request was submitted by the secretary to form a Grant Writing committee. This will have to be voted on at an upcoming meeting.

Paulette called the meeting to an end at 8:24pm.

Minutes have been respectively submitted by acting secretary Renee Brown.

In attendance:
William Crockett, Mary Ann Wilson, Lucy Shockley, Maryann Hiscock, Paulette Carrieri, John Sykes, Sabrina Finkbeiner, Jeremy Parrish, Lisa Murphy, and Kim Davis

Paulette Carrieri called the meeting to order at 7:10pm.
Special Speaker: Skylar Anderson spoke about a possible Study Skills program coming to Athens Drive. The program, “Study Skills;Study Right”, offers 5 sessions for $149.00 which teaches students how and why study skills are important. A portion (30%) will come back to the PTSA, so this is considered to be a fundraiser. Mr. Anderson spoke about how he sets the program up and does offer scholarships, if needed. There were different discussions about how would students be identified as needing a scholarship, a possible PTSA policy problem with promoting a business, if students fail, who is responsible, and how would the program be publicized. Paulette Carrieri will talk to Mr. Anderson about our concerns and will report back.

Treasury Report: Maryann Hiscock
We will receive a check in the amount of $314.10 from the VIC Rewards cards (Harris Teeter).

Administration’s Report: William Crockett and Jeremy Parrish
Mr. Crockett reported the faculty and staff Holiday Party was a great success. A big thank you to the people who sent in items and/or helped with the serving.
Mr. Crockett commented about his upcoming retirement. The Area Superintendent will have an interim principal assigned to Athens Drive by January 2. Mr. Crockett also stated the new principal will need to make safety a priority here at Athens Drive.
Mr. Crockett and Mr. Parrish reminded us about the upcoming exams which will be the week of January 13-17, 2014.
Mr. Crockett reported the new counselor for Athens Drive is Mr. Ken Sweat. Mr. Sweat is replacing Mrs. Mettler.

Teacher Liaison’s Report: Sabrina Finkbeiner
Mrs. Finkbeiner reported the staff and faculty members had a great time at the holiday party. The food was delicious.
Mrs. Finkbeiner asked where Tutoring Forms could be accessed. Paulette Carrieri responded by saying forms are online, in the library as well as posted on the walls throughout the halls.
Tutors are needed for the CTE exams in January.

OLD BUSINESS:
PTSA Position Profiles: Paulette Carrieri has contacted all the names from Mrs. Watson, ADHS Attendance person. There were a lot of interests in the PTSA, but no one volunteered to lead a committee or a board member.
Nominating Committee: Karin Evanoff asked her name to be removed from the Nominating Committee. Luisa Price’s name was added. We are still in need of at least two more people to create the Nominating Committee. If anyone would like to suggest a name, please follow up with Lucy Shockley.
Board Members’ and Committee Chairs’ Email Addresses: Paulette Carrieri will talk with Terri Voltz, PTSA webmaster, about setting up email addresses and forwarding the email addresses to the intended recipient.

The Clothing Closet is moving from Ms. Silva’s room to the Tutorial Center’s room. Paulette Carrieri and Mrs. Brown, ADHS counselor, will continue to go through the clothes. Mrs. Brown has created a Referral Form for faculty and staff members to submit names of students for assistance.

Y-Achievers will start during the lunch period at Athens Drive with Mr. Hammond leading this program.

Instruction Junction, our tutorial center, is still in need of tutors. We have 14 students on a waiting list now. Due to the shortage of tutors, Paulette Carrieri suggested having 10 students working with 5 tutors. Lucy Shockley asked Mr. Parrish about contacting Meredith College to get tutors.

The Mentoring Program is still in the planning stages for guidelines and referrals.

A Canned Food Drive will wrap up on Saturday, December 14th with the Ekklesia Church (which meets here on Sundays) will host a community movie with popcorn. Participants will be able to pick up canned goods and clothes from the Clothing Closet. On Thursday, December 12, the STEM students, CTE students and drafting students will build a structure to be judged. Lucy Shockley stated pictures would be taken and Paulette Carrieri will contact WRAL.

Teacher Grants have been awarded to Glenda McKeithan, Jason Hunning, Chris Ramaley, Allen Rasmussen, and Burgundy Trimmer.

Ground’s Report: John Sykes showed us a sketch of his plans for the Ground’s Beautification Project. A second beautification day will be set for the spring.

Budget Amendment will be discussed and voted on at our January 14th PTSA meeting. Paulette Carrieri, Renee Brown (outgoing treasure) and Maryann Hiscock (incoming treasurer) will meet to make recommendations.

PTSA versus PTO will be discussed and voted on at our January 14th PTSA meeting. Paulette Carrieri, Renee Brown, Lucy Shockley and Mary Ann Wilson met to discuss the pros and cons of changing over to a PTO instead of the PTSA. The bottom line for our PTSA to become a PTO is money. If we switch over to a PTO, all membership dues will be kept in our budget. If we stay with the PTSA, we will still send money to the local and national PTAs.

Grade Level Representative’s Report
Senior’s Breakfast will be held on January 23, 2014. Susan Hume, the PTSA liaison, was not in attendance but Mary Ann Wilson reported for her. If any PTSA member is interesting in helping with the breakfast, please contact Susan Hume.

A juniors’ parent meeting was held at Bruegger’s Bagels hosted by Lisa Murphy, our junior parent representative. The topics discussed at the meeting were about testing dates and the date of Prom (May 17). A second parent meeting will be after the holidays.

Eighth Grade Orientation will be February 20, 2014. John Sykes suggested we have a PTSA representative attend the feeder schools’ PTA meetings to encourage more participation when their child enters ADHS as a freshman.

Meeting was adjourned at 8:41 pm by Paulette Carrieri.
Respectfully submitted by Kim Davis for Rebecca Davis

In Attendance:
Mr. Crockett, Mr. Parrish, Mary Ann Wilson, Kim Davis, Renée Brown, Lucy Shockley, Paulette Carrier, MaryAnn Hiscock, Ann Sykes, Lisa Murphy, Kathy Carmer and Luisa Price

Meeting Called to Order by Paulette Carrieri.
The October 2013 minutes were not approved due to a technical difficulty with the internet. The October minutes were tabled until December’s meeting.

Treasurer: Maryann Hiscock
Budget will be added.

Grounds: Mary Ann Wilson
Mrs. Finkbeiner has the email addresses from the participates who volunteered during the Grounds Beautification Day which was held on October 26th.
Ann Sykes, reported on John Sykes’s behalf, that due to the overwhelming participants and interest in general to the beautification, a Phase 2 will start before Spring 2014. There is a number of individual teachers working on the upkeep as well. The Band Practice field will be handled by the Band Boosters to maintain a safe field for the band and will work with John Sykes.

Administrators: Mr. Crockett and Mr. Parrish
A question about a replacement for the guidance counselor was asked concerning if/when a person would be hired for this position. Mr. Crockett said a replacement should be ready by January 2, 2014
The test scores were received and the administration was overall pleased with growth. Most desegregate groups met or exceeded expectations. Paulette asked how is the Common Core tests are scored. Mr. Crockett commented on the tests by saying the tests come from the state level and the tests are scored in the district.
Mr. Parrish discussed the 2015-2016 Smarter Balance Assessment, when approved, will have more essay responses to correlate with the Common Core.

February 2, 2014 will be the Second Semester Open House. The PTSA will have a table set up for information and ways to join the PTSA.
New Student Orientation date has not been set at this time.

Teacher Report: Mrs. Finkbeiner
Paulette Carrieri reported for Mrs. Finkbeiner who was absent. Proctors are needed for the CTE testing. Please contact Mrs. Finkbeiner if interested in proctoring.
A big thank you to the Beautification volunteers.
Proctors are needed for exam week which will be January 13-17, 2014. If interested, please contact Mr. Hal Hammond. Wake County Public Schools require all volunteers to be registered through their website. At this time, registration can only be completed on Mondays at any Wake County School.

The Career Fair will be held on November 15, 2013 from 9:00am-11:00am in the upper gym. Our PTSA will have a table set up for the students to stop by and discuss different types of programs the students would like to have come to Athens Drive in the future.

ASBAE will be held on November 19th. No volunteers will be needed for this test.

Old Business
Teacher Grants were available again to ADHS PTSA teachers. A committee meeting consisting of Mr. Parrish, Mary Martin, and Mary Ann Wilson was held to determine the recipients. Mr. Parrish found resources for some of the applications. Applicants have been notified.

Position Profiles need to be submitted to Mary Ann Wilson, Renee Brown and Lucy Shockley by January 2014. Committee chairs will need to email their position profiles due to the fact we have several key positions openings in the 2014-2015 school year. The nominating committee, when formed, will need to be able to talk with interested individuals with a correct and accurate description and time commitments for each opening position. The positions of Athens Alert, President. Secretary and Membership will need to be filled soon.
Paulette asked Mrs. Watson (our attendance person), Ms. Thompson (assistant principal which replaced Mrs. Vann) and Mrs. Brown (Counselor) to let the PTSA know of individuals coming in to their respective offices who might be interested in PTSA.
Standing Rules will be available by the end of the year.
Please check the PTSA mailbox and your individual emails regularly.

New Business
Tutorial Center: Paulette Carrieri
Tutorial Center is in need of tutors to meet the demands of students needing tutoring. The Community Outreach liaison, Lucy Shockley, will also try to recruit volunteers through the local churches. At this time, eleven students are being served. However, the need for tutors are increasing.

A new name for the Tutorial Center has been chosen. The winning name, “Instruction Junction” was chosen and the winning homeroom class was Mrs. Clayton’s.
Currently we are waiting on a white board and door for the room. Mrs. Hilton may have her Art students painting murals for the walls. Paulette has talked with some of the teachers at Athens about the tutorial center. Paulette discovered some teachers are promoting the tutorial center, some teachers are not, and other teachers did not know anything about the tutoring program.
The contact person, Betsy, who is an employee with the WELL (Wade Educational Learning Lab) continues to work with volunteers from the WELL to get matched with a student who is in need of tutoring.
Update on the Clothing Closet-Paulette Carrier
The Clothing Closet started this past summer when the WELL had a need for teenage sized clothing. At the time, Paulette was working with Betsy at the WELL on having tutors come over to Athens. Betsy requested help starting the clothing closet here at Athens. An unexpectedly large amount of clothing accumulated over the summer and the first few weeks of school. A sophomore at Athens, who is also a Girl Scout, wanted to take on the task for her Gold Award. Mrs. Brown, ADHS counselor, Mrs. Silva, a teacher, continue to work on protocol and management for the Clothing Closet. At this time, the Clothing Closet is located in Mrs. Silva’s room.

Update on Y-Achievers:

A Nominating Committee needs to be formed as soon as possible to start the process of trying to fill the PTSA positions.

PTA versus PTO and How would we transition if changed are made? Paulette Carrier, Lucy Shockley, Renée Brown and Mary Ann Wilson met to discuss the difference between staying part of National/Local PTA units or breaking away from these units.
As a PTO, we would not need to send money to the local or national level. Right now, we send $1.25 to the local NCPTA and $2.75 to the National PTA. In addition to keeping the money we collect for memberships, we would not be required to have items brought before the General Membership meetings for a vote. We do have to bring certain items for a quorum vote and sometimes we do not have the required number of PTSA members in attendance.
Renée did comment about the money in our budget. She stated per PTA rules, our monies would need to be spent or at the dissolution of the Athens Drive PTSA the remaining money would be given to the National PTA.

ADHS PTSA Mission Statement: The mission statement we implemented from the May General Membership meeting needs to be revised. The Parent Representatives from each of the grade levels will work on a new mission statement.

Future Business
Formation of Mentoring Program with Community Outreach: Lucy Shockley, the Community Outreach chairperson, will continue to work with the local churches and businesses to see if tutors can be found to work with out students in the tutorial center.

PTSA Code of Ethics/Conflict of Interest Training:
These two items are tabled until the December meeting.

Suggestions:
Paulette would like to have the following bullet points wrapped up by the spring of 2014
Position Profiles Completed and submitted to Paulette by the end of January 2014
Budget amendments
Clothing Closet Protocol and Management rules needed to be created. A consensus of the attendees decided that the Clothing Closet did not need to be sponsored by the PTSA.
Volunteers
Nominating Committee-Karin Evanoff’s name was suggested to add to this committee.
Mentoring Program Guidelines

Questions/Comments:
The ADHS Marching Band has completed their Marching Band season. The band won awards from their various competitions. The show was “Finding a Cure” and was a real tribute to people are dealing with different types of diseases or diagnoses.
Fundraising Opportunities: A fundraiser involving Panera Bread is in the works. More details will be available at the next PTSA meeting.
Paulette was contacted concerning a fundraiser for “Study Skills”. The fundraiser would include a speaker, who wanted students to pay for the workshop with some of the proceeds coming back to the PTSA. A discussion started on how the workshop would be advertised to students; and determined since Athens Alert cannot advertise for profit that maybe this workshop could be free and provided during Smart Lunch. The consensus of the attendees decided that even though this sounds like a great opportunity, but having students pay is not part of our mission statement.

Mrs. Carrieri welcomed two new members, Kathy Carmer and Joyce Fay, committee chair for Jag Club. Everyone introduced themselves and stated the position we hold on the Athens Drive PTSA board and/or committees.

GROUNDS BEAUTIFICATION: Mr. John Sykes, Committee chair
Lucy Shockley is working on getting pizza donated for the Grounds Beautification Day. On our PTSA homepage, there is not a sign up underneath for volunteers to sign up to help. There was a brief discussion about how sign ups would be handled for the clean up day. Mrs. Finkbeiner created a google document for volunteers to sign up, however, Mrs. Ruth, the Volunteer Coordinator, had created a Sign Up genius for volunteers. It was decided that Mrs. Ruth would continue with her Sign Up genius page and Mrs. Finkbeiner would send the volunteer coordinator the names from the google document.

MEMBERSHIP: Mrs. Kim Davis and Mrs. Renee Brown
Action: Kim and Renee will continue to check the mail room for any new completed membership forms and update the NC PTSA database. Kim and Renee will continue working on the membership cards.
As of October 8th we have a total of 272 members: 75 students, 127 parents, and 72 faculty members.
We have also received $1,886.79 in donations.

ATHENS ALERT: Mrs. Tami Vasselli will continue to add names to Athens Alert.
Action: Tami and Lucy will continue to work on communications through Athens Alert and any other outlets…Will need to add the link for the Harris Teeter VIC card savings, online membership and donations to regular emails sent through Athens Alert.

ADMINISTRATION: Mr. Crockett and Mr. Parrish
Mr. Crockett: The PTSA sponsored a Freshman Parent Coffee on September 26th. There were great discussions during the Freshman Parent coffee time. Mr. Crockett and Mr. Parrish were both pleased and felt parents were better informed than prior to the meeting.

Wendy’s, which is reopening on Western Blvd. after remodeling, sent a $500.00 check to Athens for student incentives. Mr. Crockett mentioned that along with the check, a letter was sent which addressed the positive behavior of Athens Drive students while on the premises of Wendy’s.

PowerSchool for Parents: Mr. Parrish stated that we have had 41 parents and 230 students for a total of 3,564 hits to log into the PowerSchool mobile app. There are a total of 690 parents who have signed in through the web and 8,056 students.

Webpage has been updated by Mr. Parrish. Mr. Crockett commented on what a nice job Mr. Parrish has done to update the school’s website.
Action: Mr. Sykes asked to have the link to the Beautification sign up on the ADHS website page so students could sign up to volunteer.

Mr. Crockett:
As of 10/7/2013 we have a total number of 1,955 students enrolled at Athens Drive. In the Spring of 2013, we were projected to enroll 2,080 students. However, this did not happen. ADHS did lose one teaching position due to the lower figures. In 2012-2013 we enrolled approximately 2,000 students here at Athens.

Mr. Sykes asked Mr. Crockett about where he could find information concerning specific numbers for acreage, plans for any upgrades, and school district information in general for Athens. Mr. Crockett suggested to Mr. Sykes to go to the Wake County Public School website and click on Athens Drive.
Mr. Crockett stated Athens Drive is slated to have our roofs repaired. At this point, it is an upcoming event which should happen sometime this school year.
Mrs. Carmer asked: Will Mrs. Mettler be replaced? Mr. Crockett said yes and is still continuing the interview process.

VOLUNTEERS: Mrs. Becky Ruth
Wake County Public Schools Volunteer registration will continue to be open 5 days a week until November 4th or 6 days a week here at Athens. After November 4th, the only day parents will be able to register to become a Wake County volunteer will be on Mondays.

TEACHER REPRESENTITVE: Mrs. Sabrina Finkbeiner
Mrs. Finkbeiner: Discussed the upcoming Career Fair which will be held on November 15th. Mrs. Finkbeiner told us if the PTSA will need tables for this event, we need to go to the Google Document page and request the amount of tables needed.

STUDENT GOVERNMENT REPRESENTITIVE: Mr. Nick Keith
Nick did not attend the meeting, but Mrs. Carrieri read an email from Nick. He wanted to let us know the upcoming Homecoming preparations are in progress. The student government is working on the Homecoming court, decorating the hallways, and the stadium decorations will be completed by the last week of October. The Oracle, Athens paper, will be distributed at the end of next week. For the next issue of the Oracle, Nick will include the beginnings of the landscape project which is chaired by Mr. Sykes.

The WELL Tutors:
Mrs. Carrieri wanted to clarify about our relationship with the WELL Tutors. ALL students of Athens Drive are eligible to contact the WELL for tutors on ALL subjects. The WELL tutors and the students will decide on a time to meet at Athens Drive in our new Tutorial room. However, we do need to have an adult who is a registered volunteer to sign up to monitor the rooms when students are scheduled to be tutored. Tutoring hours are offered from 2:30pm -7:00pm everyday. Mrs. Wilson made a suggestion to divide the times into two shifts instead of one long shift. She also suggested to have parents sign up to be a room monitor, if their child is being tutored. Mrs. Hume suggested to have parents stay as well but, Mrs. Ruth said no due to the parent may not be a registered volunteer and we do not want to exclude any student from receiving assistance. Mr. Parrish suggested the possibility of NC State School of Education students monitoring the Tutorial room.
Action: Mr. Parrish will contact the NC State School of Education person.

Mrs. Ruth has sent out a request to all PTSA adult members who supplied their email addresses a sign up genius link to help with the Room monitor’s position. Since only one person signed up to be the room monitor, Mrs. Carrieri has suggested the WELL tutors meet in the library for their sessions until more room monitors are signed up to help.
Action: Mrs. Ruth will define what a monitor is and what is required and add the clarifications to the sign up genius and any information sent to parents.
Action: Mrs. Ruth will contact Stephanie Griffio, Freshman Parent Coordinator, and discuss the possibilities of attending the Freshman Parent Coffee time to inform the parents of the opportunities for volunteering.

Mrs. Brown made a motion for Mrs. Ruth to continue to encourage volunteers and Mr. Parrish contacting the NC State School of Education and Mrs. Hume seconded the motion.
All approved. Motion carried.

COMMUNITY RELATIONS: Mrs. Lucy Shockley
Mrs. Shockley presented an update for the Community Relations committee. Mrs. Shockley will meet October 15th with members from Western Boulevard Presbyterian Church and the Athens Drive Baptist Church to workout details that will benefit both churches as well as Athens Drive.

Mrs. Carrieri presented the Seventeen Essentials of team work for the PTSA.
